We value your privacy. This notice describes the terms and conditions of our company. By accessing or using our website, services and booking any tours and activities with us, you agree to comply with and be bound by the following Terms and Conditions. So, please them carefully before proceeding.

Agreements

It is crucial that you read all our terms and conditions before you book your trip with us. Your submission of the booking forms will indicate that you agree to the terms and conditions that are offered by Nepal Recreation. Similarly, we also accept these terms and conditions as binding on both parties. This mutual agreement will ensure the resolution of any potential legal or other disputes during your trip.

Brief Introduction About Nepal Recreation

Nepal Recreation is a licensed travel and tour company based in Nepal. We are authorized by the Nepal Government and are affiliated with the major key tourism organizations such as the Trekking Agencies Association of Nepal (TAAN), Nepal Tourism Board (NTB), Nepal Mountaineering Association (NMA) and other entities that are committed to eco-tourism and responsible tourism practices.

Booking With Us

Before booking any tour and adventure with us, ensure that you have read and understood our policies. If you need clarification on our any of our clauses, feel free to contact with using the details provided on our Contact Page. Your booking for any of our services becomes valid after you receive a confirmation email after evaluation from our side. This confirmation email will also activate the contract between you and Nepal Recreation, binding both of the parties under the company regulations.

Deposit Requirement

• Nepal Trips: For booking trip to Nepal with us, the booking must be made at least two months in advance. We also do offer a minimum lead time of two weeks but you will have to be flexible with available options for that (you can confirm with us about available facilities along the way). The client will need to pay a minimum of 25% of the down payment for the booking, payable via bank transfer, online mediums and Western Union. The remaining amount of the package cost can be paid upon arrival in Kathmandu and before the start of the trip. We accept several forms of currencies like USD, GBP, Euro, Chinese Yuan and Indian Rupees.

• Tibet and Bhutan Trips: For the trips in Tibet and Bhutan, booking should be made at least one month in advance. It is necessary to arrange all the logistics and permits for these countries for booking. Clients will also have to pay at least 50% as down payment for the trips to these nations to secure a spot on the trip.

• Western Union: The payment details will be shared to the client upon request.

• Online/Card Payment: Booking can be made online. Nepal Recreation accepts major credit and debit cards, including MasterCard, American Express and Visa. However, the 4% transaction fee for secure payment service charge is payable by the client.

Note: Travelers will need to pay the bank service cost by themselves while making the deposit payment. Also, during unexpected scenarios like transfer delays or loss, Nepal Recreation isn’t liable for reparation. We will notify you after receiving the payment and if there is any required adjustment regarding the agreed amount, we will notify you about it as well.

Online Payment Method

If you book any tour and travel package on the official website of Nepal Recreation following the process after clicking the Check Availability button, you will have to cover for the 4% fee as a booking charge for using the secure online medium. The extra fee is not for us but for the bank as it charges the clients for secure transfers. Online booking is the easiest way to book for your preferred travel and tour package with us. Hence, we high recommend and encourage you to book via online mediums as it saves your precious time to go through the bank processes.

We have made the online booking process with us a seamless experience. After clicking the Check Availability button, you will be led to the Select A Date page, you can select the most feasible date for you here. Then, determine the number of travelers on the Package Type page and fill in the necessary details on the Billing Details page before making the online transfer securely via the Payment page. Note: About Last Hour Booking

Nepal Recreation also has a last-minute booking option if in case you were not able to book for the package in your leisure time. Note that for the last-minute booking, you will have to make 100% payment as you will get only a week before the start date to book for the trip. This last-hour booking facility is not available for trips to Bhutan and Tibet as the arrangement of permits takes at least 3 weeks for these countries.

Note: After making the advance payment via online mediums, if you want to pay the remaining amount to us suing credit cards (or other cards), we also accept the card payment. We accept it via online mode or using the swapping machine but note that a card processing charge of 4% needs to be covered by you.

Trip Cancellation Policy of Nepal Recreation

For Nepal Trips

After booking for the travel and tour package, some might be compelled to cancel the trip due to several reasons such as personal/domestic reasons, medical, health, job or some other unforeseen circumstances. In such case scenarios, you can cancel the trip but a 25% will be charged as the cancellation fee. You will have to inform our overseas agents in your nation with a minimum of one month prior to the schedule start date of your trip. For the cancellation notices two weeks to one month before the commencing date, a 60% cancellation fee is applied. There is no refund for last-minute cancellations or no-shows.

In some situations, the client may have to return or take a break from the travel and tour activities earlier than the proposed itinerary plans due to medical, physical or other personal reasons. During such circumstances, the client has to cover for his/her own expenses for food, accommodation, or any other services before departure to home country.We also don’t provide any refunds if the company has to reroute the journey due to unavoidable situations or bad weather conditions. If such situations arise, the company holds the right to make the necessary decision and provide you with a hassle-free adventure experience.

For Bhutan and Tibet Trips

For the travel and tour packages to Bhutan, the cancellation should be made a minimum of 30 days before the departure dates. The cancellation notice needs to be in a written form and we will only adhere to and implement it from the day the note is received by our company. Similarly, if the client leaves the trip earlier due to personal reasons or medical reasons, either voluntarily or involuntarily the company won’t provide any refund as all the expenses are paid for the trip. The same goes for the dispel from the tour due to an unlawful act. If the client wants to make any kind of changes from the original pre-determined itinerary plan, the person who has made the booking should submit us with a written document mentioning the required changes. Nepal Recreation will make every effort to make the changes after getting the notification however the changes cannot be guaranteed.

In case if you are compelled to cancel the trip for genuine reasons such as death, injury or any serious illness of the person, close relatives, or close friends, the client may postpone the trip or transfer the booking to another person. As long as the recommended person meets all the requirement it can be proceed further. You will need to provide evidence of why you were unable to travel at the time and why you need to change the previous booking. This policy with us is only valid for 6 months after your notice has been be approved.

Responsibility of Client

The your/trekking guiding representing our company holds all the authority during the trip. If anyone behaves badly or commits any unlawful act, you will be compelled to leave the tour or trek. During such circumstances, no refund will be made to the client. If your activity damages the reputation of our company you will have to face fines or even a lawsuit considering the extent of the wrongdoing. So, we as a reputable company hope you will comply with responsible and sensible travel and tourism practices.

Passport and Visa Conditions

For Nepal

We request all the clients to have at least six months of passport validity period before entering Nepal. The tourist visa for Nepal can be obtained on your arrival in Kathmandu (Tribhuvan International Airport) which is called ‘On Arrival Visa’ or you can get it from the Nepal Consulate or Embassy in your home country or. The cost of the Nepali travel visa is the sole responsibility of the client. You can get the visa as per your intended period of stay.

For Bhutan and Tibet

Like traveling to Nepal, all clients should have a passport with at least 6 month validity period for travel to Bhutan and Tibet. To obtain travel visas to these countries, you will have to submit your passport details to Nepal Recreation at least 3 weeks before the departure date. We will then proceed further with the application process after receiving details from you.

Health and Fitness

For doing any touring and trekking adventure with us, clients should have sound health and a good level of fitness. It is the sole responsibility of the client to inform us about any pre-existing medical conditions or disability. If you have any medical conditions if may increase the risk of your well-being or affect your capability while doing your designated trip. It will be best if you consult with a physician about your health and whether if you are in a condition to partake in a particular adventure before booking a trip with us.

Children

Parents or authorized guardians must accompany all travelers under the age of sixteen. If you have any more questions regarding age suitability regarding the trip of your choice, please contact us with details provided on our Contact Page.

Publicity

Nepal Recreation can take your pictures or videos during the tour or trek without being informed or without being informed for candid shots. As these media files are solely for the promotion purpose of our agency in social media and video platforms, no compensation is provided to the clients.

Unpredictable Situations

Unpredictable situations such as road blockage, natural disasters, political instability or delays, etc may occur during the trip. Nepal Recreation will be unable to refund any payment under the above mentioned circumstance due to the prior supplier arrangements. If possible we will arrange an alternative or substitute trip of the same category. We also do not accept any responsibility for loss of employment, delays, or compensation for situations that are beyond our control.

The tour and trek package of Nepal Recreation Nepal is based on twin shared accommodation facilities. The supplement charges of a single room will be imposed on the clients who are traveling alone and do not have another participant to share the accommodation with. We also reserve the right to revise the pricing rates of our posted marketing materials under any circumstances or on pressure from external factors like changes in exchange rates, government policy, etc which are beyond our control.

Privacy

Nepal Recreation will gather the necessary information from you for the booking procedure. Thus, the information provided to us should be genuine. The personal or private information that you share with us during the booking process will not be disclosed to anyone or used for other purposes. The information you provide us is solely used for booking the service and making necessary arrangements for the trip.

Risk and Liability

Nepal Recreation is dedicated to making your journey as smooth and as pleasant as possible. We are committed to offering the best services and 24/7 care throughout your experience. However, the programs are conducted strictly adhering to the rules and regulations of their own policies. We will not be responsible for any modification of the itinerary plan due to unforeseen factors such as government restrictions, natural disasters, road blockage, cancellation of flight, delay, political instability, sickness, or accidents. The expenses borne under such circumstances should be covered by the clients.

Our Responsible Tourism Policy

We adhere to eco-friendly and responsible tourism practices. Nepal Recreation is making efforts to re-invent tourism for the benefit of the local communities, tourist, environment and overall tourism industry on a larger scale. As you book your services with us we will accept that you will adhere to these policies that we value.

Complaints

If you have any complaints regarding any of our travel and tour packages, you should take the complaint immediately to the leader managing your team. Make the complaint if as soon as possible so it can sorted out immediately as per your convenience.

Travel Insurance

For doing your trip with us, you must have a complete travel insurance package that covers for medical expenses, natural calamity, helicopter evacuation, cancellation, etc. You should get the most feasible that is suitable for your needs. You will be able to travel with ease and have financial coverage in case of any unforeseen circumstances. So, we strongly suggest our clients to get an insurance package suitable for their adventure.

Tour Amend

If you want to make any kind of alternation for the mentioned itinerary plan of your trip, you need to submit a detailed request before the start date. You can also make the request for the change enroute, but you will have to stay in touch with throughout the experience. Due to unforeseen circumstances such as bad weather, natural disasters, etc, you will be obliged to move along the alternation plan considering your safety and well-being.

Impact of the Journey

Nepal Recreation will ensure that your trip remains comfortable and enjoyable considering the limitations of the region. Clients need to understand that during the mountain or remote region exploration, the top-tier services and amenities may be limited. But we will ensure the best available services in the region and suggest some flexibility. Weather is another major factor that has a direct impact on the journey. Thus, during unfavorable conditions, we request patience, a positive mindset and enthusiasm as thorough preparation is necessary to deal with such circumstances.

Your Personal Belongings

We are not responsible for the loss or damage of your personal belongings on any account even when it is shouldered by the Nepal Recreation’s porters, vehicle or yaks-ponies used during the transport. That means your personal belongings may be at risk at times. However, our escorts and guides will put in their best efforts to make sure such a situation doesn’t arise. We also suggest you to sort out your luggage sensibly and keep the fragile equipment in your possession.

Papers and Documents

All of the necessary documents for the trip should be presented in a sequence as these documents are necessary to obtain visa, getting permits, insurance, etc. Nepal Recreation will not be liable if case any trip formality is not completed in time before the start date due to missing of the essential papers and documents.

Trek and Tour Grades Information

Lesuire Tours or Walking Trips

The leisure tours or short walking trips involve short walking distances of multiple hours during each day. Nonetheless, the participants should have sound health and good fitness. The trek duration is from 4 to 5 days to 8 days on either trek or scenic tour. Driving maybe possible at different feasible points but part walking is also essential. If you want to try rafting a day or two days is required.

Moderate Trips

These trips involve traversing across steep sections and high-altitude points. Normally, trekkers have to travel like 4 to 5 hours of distance every day with plenty of rest periods in between. Duration of this type of trek can last from 2-5 days to 8 days and is suitable for all age groups with sound health and good fitness.

Adventurous Trips

These adventurous trips are for the physically fit person of all age groups who are in good health. It will be best for the client to have some experience on hikes and multi-day treks for these kinds of adventures. This category trek involves traversing across rugged and steep mountain terrain with an average of 6 to 7 hours of walking period with sufficient breaks in between. The trip last for 10 days 20 days and even more considering the high altitude points and region.
